The Office Assistant plays a vital role in helping the Blue Beyond team perform at its peak capacity by creating a welcoming work environment, supporting administrative needs, and organizing hospitality and details for company-wide events.

What you'll do

Reporting into the CEO’s Chief of Staff, the Office Assistant will provide support in a wide range of office tasks. Our ideal candidate will be excited by and comfortable with wearing many hats. Typical duties include:

  • Ensure Blue Beyond’s Castro Valley office is welcoming and ready for our team and clients, including managing office supplies, overseeing housekeeping, organizing in-office breakfast and lunches, and creating a hospitable and welcoming environment at all times
  • Support all company-related events end-to-end from space set-up, AV, food, and other hospitality-oriented support
  • Maintain office related ‘Standard Operating Procedure’ documentation in partnership with the operations team
  • Support proactive and effective day-to-day team communication, ensuring all stakeholders are informed about key information
  • Provide day-to-day administrative and operational support including: fielding phone calls, managing email, calendar planning and supporting office related vendor relationships
  • Other tasks as directed by the Chief of Staff

Ideally, you’ll have experience in administrative support, office operations, business administration and/or a related field, and are ready to jump in and add immediate value.

Qualifications

  • A minimum of 1-2 years of experience in administrative support or operations support role (internship experience considered)
  • Associate’s Degree and/or comparable work history considered. Bachelor’s degree a plus

  • Outstanding communications skills, both written and verbal
  • A track record of managing multiple tasks to a high level and through completion
  • The ability to work onsite at our Castro Valley headquarters
  • Ability to lift up to 20 pounds and assist with re-arranging office furniture and equipment
  • Comfort and familiarity with technology and video conference systems not required, but appreciated

Qualifications

  • Experience with a broad range of change and communications skill sets, including stakeholder engagement, change management, employee communications, manager enablement, strategy development, program development, and/or related fields.
  • Bachelor’s degree required; Masters in related field a plus.
  • In-depth experience in a business function requiring extensive consulting and relationship development capability such as Human Resources, Organizational Development, Talent Management, Employee Communications, Change Management, etc.
  • Experience working in technology, life sciences and/or biotechnology industries.
  • Proven track record of partnering and collaborating with others in order to deliver positive business results.
  • Strong facilitation skills.
  • Excellent written and verbal communications skills in a variety of formats (e.g. web, blogs, video scripts, Word, PowerPoint, etc.).
  • Adept at using a wide variety of communication channels, tools, and technology.
  • Detail-oriented with strong organizational and project management skills, able to work well under deadlines in a fast-paced environment.
  • Able to perform multiple tasks effectively and concurrently.
  • Travel may be required.
